How to Write a Schengen Visa Cover Letter (With a Simple Structure)

A cover letter is your chance to explain your trip in your own words. It doesn't need to be long or impressive — it needs to be clear and consistent with every other document in your file. A visa officer reads many letters a day, so a short, well-organised one makes their job easier.

Keep it to one page

Use a simple, formal tone. Address it to the visa section of the embassy you are applying to, add the date, and sign it at the end.

A six-part structure that works

1. Who you are

Your full name, passport number, and what you do — for example, "I am a senior accountant at ABC Company in Karachi, where I have worked since 2019."

2. Why you are travelling

State the purpose in one or two sentences: tourism, visiting family, attending an event. If you are travelling with family, list each person and their relationship to you.

3. Your travel plan

Give your dates and route — "I will travel from 10 to 20 July, spending six nights in Paris and four nights in Rome." Mention where you will stay.

4. Who is paying

Explain how the trip is funded — your own savings, your employer, or a sponsor — and point to the documents that support it.

5. Why you will return

This is the most important part. Mention your job and approved leave, your business, family, property, or children's school — whatever genuinely ties you to Pakistan.

6. Documents enclosed

End with a short list of what you are submitting, so the officer can find things quickly.

Tip: After writing the letter, check every date, amount and name against your bank statement, hotel bookings, flight reservation and leave letter. One mismatch can undo an otherwise strong application.

What to avoid

  • Emotional or exaggerated language — keep to facts
  • Promises you can't support, such as large amounts you can't show in your bank statement
  • Copying a template word for word — officers recognise them instantly
  • Long life stories — if it doesn't help explain the trip, leave it out
